Snack signup sheets for youth sports
Post-game snacks keep kids happy and parents engaged with the team. Set up the season rotation once and let families fill it in on their own.
Who this is for
For coaches and team managers of recreational leagues — soccer, baseball, basketball, softball, and similar youth sports. Works best for teams of 10–20 players where parents take turns supplying a post-game snack and a drink for the whole squad.
What gets in the way
- The coach personally recruits a snack family before every single game, sometimes the morning it is played.
- Families who joined mid-season have no idea there is a rotation or how to get added to it.
- Three families race to claim the first game while the last two cold-weather games stay empty all season.
- A parent texts at 7 AM game day that they forgot — with no quick way to find a same-day replacement.
How this helps
- The full season schedule lives on one page; any parent can open the link and claim an available game in under a minute.
- Slot labels include the date, opponent, and game time so families know exactly what they are committing to before they sign up.
- New families see all open dates instantly without needing a team orientation or a separate introduction.
- A family who cannot cover their game can cancel from their confirmation email and the slot reopens for anyone else.

Tips for this type of signup
- Include the game time in the slot label, not just the date — "March 15 vs Riverside (9 AM)" recruits better than "March 15."
- Add a note to each slot: "snack for 14 kids + 2 coaches" so there is no guessing about quantity.
- Label the season finale slot something memorable to make late-season games more appealing to claim.
- Mention the signup link at the first game and again in the post-game message for families who missed the group text.

What if a game gets rained out or rescheduled?
Edit the slot label and date from your dashboard. Parents who already signed up keep their slot and see the updated information in the event. If the game is canceled entirely, delete the slot and the family is notified.
Should snack and drink be one signup or two?
One slot per game works well — add a note like "snack + drink for 12 kids" so the family knows what to bring. Splitting it into two slots adds complexity without much benefit for a youth team.
Can I run signups for multiple teams on one account?
Yes. Each team gets its own event. All events are visible in a single dashboard, so you can manage a U8 squad and a U10 squad without switching accounts.
How do I handle mid-season additions to the roster?
No action needed. New families just open the same link and claim whatever games are still available. They see the same signup page as everyone else.
